08/18/21- Updates and Reminders on Schedule Change and Score Reporting
PrintFirst off, thank you to our member schools for your help last year in adjusting to a revised method to report scores and schedule updates to the Riherds / KHSAA Scoreboard.
GENERAL NOTES FOR ALL SPORTS
Some of the methods will necessarily change in 2021-22 as Bylaw 22 on forfeiture of contests is fully enforced. However, we still want to emphasize the needed integrity of the reporting of games canceled due to COVID-19. The data from those cancelations plays a huge role in seeing how the virus is potentially affecting sports and frankly, ensuring our ability to continue play. We hope this data will be accurate as we move through the fall and vaccinations increase to help slow the spread and reduce quarantine time.
The daily email links to enter scores will continue to be sent. Note that these emails, along with emailing scheduleentry@khsaa.org and calling the scoreboard hotline at 1-800-453-6882 are the only methods to report scores.
If you are trying to reschedule a game, you can see available open opponents at the link on the school login page by clicking Schedules and Stats Entry, then click this link at Check 2021-22 Open Dates Against Scoreboard Schedules. Though that data is only as accurate as the data that has been entered, it is continually updated.
Seeded district contests canceled due to COVID (including football district games) that are unable to be played will be recorded as forfeits in favor of the team not impacted. Only in the event of a mutual COVID cancelation (both teams in quarantine, etc.) will the required seeded game not have to be played if it cannot be rescheduled and the result for seeding purposes will be based on the comparative RPI on the date of the last seeded contest in field hockey, soccer and volleyball, and after the final games on the final weekend for football.
All schools are reminded that per Bylaw 22, teams entering into a seeded district are by default entering into a contract and are subject to the minimum forfeit fees in Bylaw 22, even if no written contract exists (including first-round football playoff games).

PROCESSES FOR FIELD HOCKEY, SOCCER AND VOLLEYBALL SCHEDULES AND SCORES (SEE BELOW FOR NOTES SPECIFIC TO FOOTBALL)
Processes have been revised from last year to allow the schedules in field hockey, soccer and volleyball to be changed at the local level.
Note that for both coaches and Athletic Directors all updates are made from the Schedule and Statistics page of the school subdomain (schools.khsaa.org) by clicking “Update” next to the appropriate contest.
COACHES AND OTHERS NOT HAVING ATHLETIC DIRECTOR RIGHTS
- On the day of a game, a person with these rights may only edit start times and report scores.
- For future games (beyond the current day), a person with these rights has the ability to change opponents, game sites, dates and times.
- Users with these rights may not remove or cancel a game. You will be prompted to contact the AD or someone in your school with AD rights to remove or cancel a contest.
ATHLETIC DIRECTORS (OR ATHLETIC DIRECTOR SYSTEM RIGHTS) ONLY
- ADs have the ability to change opponents, game sites, dates and times, AS WELL AS removing or canceling games. The latter will require the additional step below.
- A COVID cancellation must be directly related to COVID-19 (school/district policies regarding quarantines and isolations, etc.). In the case of a COVID cancelation without the game being rescheduled, the game will be recorded as a forfeit by the team not affected by the virus.
- In the event a game that was canceled due to COVID is rescheduled, please DO NOT ADD that game manually. Report that reschedule to staff by emailing scheduleentry@khsaa.org so it can be accurately updated on the scoreboard. The original contest will remain to keep the accuracy of the COVID count, but the forfeit will be removed and the game will not factor into standings and RPI calculations.
- After clicking “Update” next to a game on the Enter/Edit Varsity Team Schedules page of the KHSAA school login page (https://schools.khsaa.org), you’ll see the following choices for cancelation at the bottom of the screen:
- COVID Quarantine of Reporting Team
- COVID Quarantine of Opponent Team
- Forfeit by Reporting Team
- Forfeit by Opponent Team
- Non-COVID Mutual Agreement
- Weather-Related Cancelation
- *You’ll also see a note that if the reason for cancelation is in dispute, to contact scheduleentry@khsaa.org with details.
SPECIFIC PROCESSES FOR FOOTBALL SCHEDULES AND SCORES

As of Monday of the first playing date (Aug. 16), all schedules will be locked. From that point on, the only manual adjustments available will be kickoff times and the adding of new contests.
COACHES AND OTHERS NOT HAVING ATHLETIC DIRECTOR RIGHTS
- On the day of a game, a person with these rights may only edit start times and report scores.
ATHLETIC DIRECTORS (OR ATHLETIC DIRECTOR SYSTEM RIGHTS) ONLY
- ADs have the ability to add future games, but may not delete or reschedule as this must be requested on the GE92 form
- For all other changes – including COVID cancels, weather cancels, forfeits, reschedules, mutual agreements to not reschedule and other date changes – someone with AD rights to the system is to submit Form GE92 (Scoreboard Schedule Change Request) (https://bit.ly/3yYo6R7).
- A COVID cancellation must be directly related to COVID-19 (school/district policies regarding quarantines and isolations, etc.). In the case of a COVID cancelation without the game being rescheduled, the game will be recorded as a forfeit by the team not affected by the virus.
- In the event a game that was canceled due to COVID is rescheduled, you will not be able to add the game manually through the system. If the contest is rescheduled, you should report the reschedule with the GE92 form so we can accurately update the scoreboard.
