As we prepare for the 2026-27 academic year, the Kentucky High School Athletic Association (KHSAA) looks forward to continuing to provide meaningful competitive esports opportunities for our students through our ongoing partnership with PlayVS. Ahead of the upcoming year, we want to share several important structural updates regarding the format and registration process for our upcoming seasons.

In May 2026, PlayVS experienced operational and financial challenges that prompted organizational updates and a restructuring of its business operations. KHSAA leadership has been in direct, continued contact with PlayVS representatives to fully evaluate these developments and ensure operational stability for our member schools. We have been assured that the PlayVS platform remains fully operational, and the company is deeply committed to supporting scholastic esports across Kentucky.

To establish long-term platform durability and support localized league execution, PlayVS is transitioning away from the “free” model of the past couple of school years, which relied entirely on funding from national brand partners. Because that brand-subsidized strategy is no longer viable, the league is moving to a school-based annual site license framework for the 2026-27 school year. We want to ensure all our athletic directors, coaches, and administrators have accurate and timely information as you plan your school’s activities and athletic budgets for the coming year. Please note the following important points regarding the evolution of this decision.

2026-27 Fee Structure & Registration Deadlines

The updated fee model uses a flat annual site license fee per participating school regardless of the number of game titles selected, and is designed to support ongoing league administration, platform maintenance, and unlimited student participation. Originally, there were plans to delay implementation, but those plans are impractical.

For the 2026-27 academic year, the comprehensive registration cost will consist of the baseline PlayVS platform fee.

  • High School Standard PlayVS Platform Fee: $595 per school for the full academic year
  • High School Early Bird Platform Discount: $495 per school, if payment or an active Purchase Order is received before Friday, August 7th.
  • Middle School Standard PlayVS Platform Fee: $495 per school for the full academic year*
  • Middle School Early Bird Platform Discount: $395 per school, if payment or an active Purchase Order is received before Friday, August 7th*

 * Middle schools are not required to participate in PlayVS leagues. One often-overlooked fact about Middle School players is that they can play for their direct feeder high school teams as long as they are 13 or older and enrolled in grade 7 or above.

This combined annual fee covers all tournament and competition costs for both the Fall and Spring seasons. Under this site license model, there are no limitations on the number of game titles a school can play, nor are there caps on the number of teams or players you can enroll.

Notes and Historic Recap:

  • Prior to the free model (which began in Spring, 2024, lasting two years), PlayVS charged $80 per student per season (offering a $2,000 “Premium” annual billing model for unlimited players) – compared to the 2026-27 Early Bird Platform fee of $495 per school per year for high schools and $395 per school per year for middle Schools for unlimited students.
  • This past school year, 142 schools participated in at least one game title (49% of our membership).
  • Baseline PlayVS platform fees for subsequent academic years within our multi-year framework will be finalized by January of the preceding school year and shared with the membership at that time.

Program Funding & Support

To assist our schools in navigating this budgetary adjustment and minimizing direct out-of-pocket expenses, PlayVS is offering an integrated fundraising solution during the seasonal enrollment period.  PlayVS is partnering with Snap! Raise, the nation’s leading scholastic fundraising platform (over $1.0 billion raised for schools), to help local programs seamlessly cover the cost of platform participation without out-of-pocket strain.

  • Schools will have the option to seamlessly opt into a built-in fundraising campaign directly through the PlayVS interface during the standard registration process.
  • One hundred percent (100%) of the funds raised will be applied directly toward your school’s annual platform site license and KHSAA league fees.
  • PlayVS Deficit Protection: PlayVS has instituted a safety-net policy for this upcoming year: any school that launches and completes a baseline fundraising campaign in good faith but falls short of the platform fee total will have the remaining financial difference covered by PlayVS to guarantee full seasonal platform activation.

Next Steps

KHSAA remains fully committed to supporting our coaches and administrators to ensure our student-athletes continue to experience the immense benefits of scholastic esports, including teamwork, leadership, and digital citizenship.

The Board of Control will discuss at its July meeting any other costs related to conducting a championship. At this time, it is not anticipated that additional seasonal structure changes will be made for 2026-27, however it is important that our plans be nimble enough to handle any unforeseen situation.

If you have technical questions regarding registration, billing setups, or platform logistics, please contact our designated PlayVS partner representative, Joshua Michaels, at joshua.michaels@playvs.com.

For questions about how these updates affect localized KHSAA tournament regulations, divisions, or state championship events, please contact the KHSAA office directly through our Esports contact, Rob Catron, rcatron@khsaa.org.

Thank you for your continued dedication to excellence in our student programs. We look forward to an outstanding 2026-27 competitive season!
