Thank you for agreeing to work the 2023 Clark’s Pump-n-Shop State Track & Field Meet presented by UK HealthCare. Below is the list of your duties and explanations of reporting times (all times Eastern Time zone).

EVENT DETAILS
Dates: June 1-2-3
Location: University of Kentucky Track & Field Complex

CHECK-IN
Report to the team check-in tent (same as prior years) and check-in. There you will sign in. If you have worked the state meet in the last few years and have your 3 polos, please bring them. If not, please just wear something summer casual and the staff at check-in will have an event staff badge for you to wear.

WHAT TO WEAR
If you do have the polos, the order is as follows:
-Royal Blue Heathered on Thursday, June 1
-Green Heathered on Friday, June 2
-Navy/Gray Heathered on Saturday, June 3

PARKING
Parking details will be sent the week of the meet. The University of Kentucky is still unsure of which events will be on campus that week and should have updated parking information to us by Tuesday, May 30. 

MEALS 

A box lunch will be provided each day. 

WORKERS ASSIGNMENTS

  • Ticket Gate: Maurie Bedwell, Donna Tackett, Madison Kalb, Trey Smallwood
  • Arrival time – 7:00 AM each day
    • There will be two ticket types this year again (one with re-entry, one without re-entry) which are color-coded which should make it easier to notice the difference.
    • All tickets are on mobile devices through GoFan.
    • If a fan has a re-entry ticket, then we need to redeem their ticket & give them a wristband upon entry.
    • Maurie & Donna – will be putting wristbands on those who purchase a re-entry.
    • Trey & Madison – will have iPads for purchasing/searching. 
    • The ticket gate lead administrator will instruct you upon arrival about how to work with redeemers and queuing lines for getting people in the quickest.
    • Every person coming through your gate will need to have a wristband or you are redeeming their ticket.
    • No athletes, coaches, or comp tickets will come through your gate. If it isn’t a paid ticket, then they need to enter through the bottom team gate.
    • Please be sure to monitor that no coolers come through this gate. Any team coolers must come through the team entry gate down below.
  • Worker/Official/Pass Gate Check-in: Ken Craig, Donna Bumps
  • Arrival time – 6:45 AM each day
    • We will have an electronic list on a laptop for you to use when people check-in.
    • Volunteers may be added throughout the day, but please be sure to radio Vicki Rowland (official) who will assist in assigning any volunteers.
    • If we have the stock, there will be polos needed to be given to officials only.
    • Officials might request certain colors & sizes and you can distribute as needed while supplies last.
    • Workers – please just give a KHSAA Event Staff badge, save the polos for the officials. 
    • Media members will get a wristband upon check-in. Ask them if they want infield access while at the meet. If so, they must check out a media yellow vest.
    • Be sure to write down the vest # assigned to each media member and you will collect them upon exit (this way if 1 is missing, we know who to contact).
  • Team Gate Security: Jay Davis
  • Arrive by 7:00 AM each day
    • You will be with Darren Bilberry at the team gate checking credentials
  • Public Address Announcers: Chris Hawboldt, Mac Yocum
  • Arrive by 7:00 AM each day
    • For anniversary and special recognition groups, we have a detailed schedule of when they will be announced and all PA scripts will be provided for you.
    • Connor Link in our office will be in the press box assisting you and will be available if we have any weather/delays.
  • Awards Liaisons: Debbie Beichler, Tiffany Riley, Rachel Angolia (FRI/SAT)
  • Arrive by 8:00 AM each day
    • This will allow time for you to get medals and awards organized under the tent and ready for the first event.
    • Debbie will have the radio coordinating with the press box.
    • An iPad will be available to view live results.
    • After each event. Debbie will check with the referee to ensure no DQs or challenges. If the results are final, you will line up athletes and coordinate the presentation of their awards.
    • Some athletes will miss the presentation, records are key at the tent!
    • Tiffany will manage taking any notes on ties and medals that need to be reordered/mailed after the meet.
    • Boxes will be provided to organize those medallions not picked up.
  • Results Runner: Jordin Fender
  • Arrive by 8:30 AM each day
    • You will collect sheets from the clerks and take to the press box. 
  • Shuttle/Golf Cart Drivers: Ralph Compton, Bobby Day 
  • Arrive by 7:15 AM each day
    • You will drive the golf cart shuttles between Kroger Field/Parking structures & the track complex.
  • Unified & Adapted Events: James Webb, Jonathon Grooms, Alison Kimble, Ariea King, Cheyenne Fullwood,  Kenni King 
  • Arrive by 8:00 AM each day
    • Before the meet, James Webb will go over assignments for the day.
    • Ariea will focus more on the adapted events. Sarah/James will be there to help guide you on the first day.
