As we both go into the fall postseason tournament events, and as schools begin entering Basketball Christmas Tournaments, we wanted to provide some important reminders concerning tournament entry in the KHSAA360 (Arbiter) Tournament Manager.

We will highlight the pitfalls that we have been experiencing this fall season with schools using the tournament manager. Be mindful that for fall postseason events this school year, managers are still required to send regular brackets to brackets@khsaa.org, in addition to entering the events in the KHSAA360 Tournament manager to facilitate officials’ assignments and a variety of other objectives..

Tournament Manager Important Reminders

  • All tournaments, whether they be regular season, district or regional, must be built using the Tournament Manager in 360.
  • Before creating your tournament, ensure that the sport’s default assignor group is set correctly on your Resources > Teams page.
    • Step-by-step instructions found here
  • Ensure that when creating the tournament, you specify that officials are required and select the correct assignor group.  If you do not, the tournament will have to be deleted and re-created.
  • Tournament managers – once created, and at your initial meeting, tell every other school’s ADs/Coaches to stay out of it as it relates to data entry!
    • This has been the number one issue this past fall for two reasons:
      • Coaches are in such a hurry to enter scores and stats that they do not give the tournament manager enough time to update the following round matchups from TBA vs TBA.  They mistakenly enter an away, single contest just so they can enter scores and stats – causing duplicate contests on the Riherds/KHSAA Scoreboard, 
      • Many do not understand how to enter scores in a tournament.  Remember, for tournaments, the scoreboxes do not appear on a school’s main schedule page.  Every participating team must click on the tournament from within its schedule page to display the individual contests in the tournament, where the scoreboxes are located.
  • Regarding score entry, teams should decide pre-tournament who will enter scores.  Any participating team can enter scores, but the tournament manager may also want to handle score entry for consistency.  Either way, communication is key.
  • Though assignors are not to enter tournament contests, they are the only ones who can cancel a contest within the tournament once officials have been assigned.  So please contact them for assistance if that happens.

Note: If your region operates similarly to the example above, where the district winners host the opening round, you can still load the tournament in advance.  We understand that some assignors prefer to review the schedule before the matchups are finalized.  If this is the case, you can select ‘TBA’ as the site for each of the opening round matchups and then update accordingly once those matchups are confirmed.  Please contact us for more information.
