Thank you for agreeing to work the 2024 KHSAA State Cross Country Championships Presented by UK HealthCare. Below is the list of your duties and explanations of reporting times (all times Eastern Time zone).

EVENT DETAILS 

CHECK-IN

  • Report to the workers/officials check-in tent. If you have your KHSAA Event Staff badge, please bring it.
  • If this is your first event for 2024-25,  will have your badges available at the check-in or a general Event Staff badge if needed. 
  • Ticket redeemers will be finished around 4:00 PM, all others should be finished up by 5:00-5:30 PM. 
  • Any who can stay and assist load-out will be compensated for the extra time.

WHAT TO WEAR

  • Dress comfortably and warm! 

PARKING

  • If you plan to be there for all 3 classes and not leave before 4:00 PM, then you can park all the way up in Paddock 1.

  • If you do not plan to be there all day, please park in the General Parking lot. 

MEALS 

  • A box lunch will be provided. 

WORKERS ASSIGNMENTS

  • TICKETS/TEAM ENTRY
    • Rachel Angolia, Rick Bridges, Bruce Lynch, Kathy Smith, Barb Kok, Marsha Day
      • PURCHASE TICKETS: Rachel & Bruce will have the box office units and ready to sell at all times. Rick will have an optional box office unit if it gets busy. Rick will need to leave before the last set of races to head to soccer.
      • REDEEMING TICKETS: Kathy & Barb will handle the line of fans who have already purchased tickets, and just redeeming for admission (or checking for coach credentials/bib numbers).
      • There will be 3 separate lines for easy entry (one to purchase, one to redeem, and one pass gate).
      • Marsha will assist with wristbands for all.

      • Arrival time, Saturday (Nov 2) – 8:00 AM
  • TEAM CHECK-IN 
    • Heather Cavitt
      • You will assist Jeanie from our office in checking in teams and distributing team packets.
  • MEDIA/WORKERS/OFFICIALS/PASS GATE
    • Donna Tackett, Maurie Bedwell  
      • The KHSAA Google Sheet will be available on a laptop for check-in lists.
      • PASS GATE: We will be admitting the AD, Principal, and Superintendent if they have the KHSAA-issued ID card. Each card is valid for 2 wristbands. You will be given wristbands to distribute.
      • ANNIVERSARY TEAMS: Each team was sent complimentary tickets for entry, but each team liaison will come to check in with you (list on Google Sheets). Please be sure Kara knows which teams have checked in for each class so we are ready for the awards ceremonies.
      • MEDIA: A check-in list will be provided. If any are not on the list, radio Jenny Elder to check before allowing entry. They will get a gift and a yellow vest. Please record the vest number and tell them they must return it before leaving for the day.
      • WORKERS/OFFICIALS: A check-in list will be provided. If any are not on the list, radio Sarah Bridenbaugh to check before allowing entry. This group will all get a hat.
      • Arrival time, Saturday  – 7:45 AM
  • TEAM DROPOFF/PARKING
    • Glenn Spalding, Trey Smallwood
      • You will assist team parking. There is a dropoff area that Glenn will be at to stop all traffic from going any further.
      • Teams must drop off teams and equipment and carry it to the check-in tent.
      • Once they have been offloaded, then Glenn will send them over to Trey who will assist in organizing the parking of buses/vans. 
      • Trey will need to leave by 3:30 PM to head to soccer. 
      • Arrival time, Saturday – 7:30 AM
  • SHUTTLE DRIVERS
    • Bobby Day, Jason Jones, Sadie Wurth
      • You will be provided 6-passenger golf carts to shuttle fans who need assistance to the ticket gate and course. 
      • Jason & Sadie will split the day
      • Arrival time, Saturday – 7:30 AM (Bobby & Jason), 11:30 AM (Sadie)
  • PUBLIC ADDRESS ANNOUNCER
    • Chris Hawboldt, Mark Levdahl
      • Announce calls, corporate announcements, and awards. Mark will assist in spotting.
      • Arrival time, Saturday – 8:30 AM
  • AWARDS
    • Kenny King, Rose Chalk, Linda Sarrett Mathis
      • You will assist in lining up and organizing teams/individuals as well as unboxing and organizing the trophies/medallions.
      • Arrival time, Saturday – 9:15 AM
  • KHSAA STAFF
    • Arrive by 7 AM on Saturday, November 2nd
    • Shirt: New Black Tonal/Blue Longsleeve Pullover
