Good morning. On behalf of the entire staff, it is our hope that many of you, as building and athletic administrators, are back and ready to go after taking advantage of the only two “down” weeks of the athletics year with the dead period!

This is the second school year that our online rosters have been in the KHSAA360 (Arbiter) platform.   There are no major changes to the 360 roster management from last school year. Rosters have been rolled from the previous year, and may now be edited for the coming seasons as well as sport and sport-activity offerings.

Important Reminder:
STUDENTS MAY NOT PARTICIPATE IN INTERSCHOLASTIC COMPETITION (including scrimmages and contests), AND SUCH SCRIMMAGES AND CONTESTS CANNOT BE HELD BY MEMBER SCHOOLS WITHOUT A VALID ROSTER BEING ONLINE! The KHSAA360 system is the only system for roster and schedule entry that meets KHSAA rules and requirements in all sports.

Student List

First, let’s talk about your Eligibility>Student list.  For veteran Admins, you will remember this being called the “Overall Athlete Roster” in our legacy system.  It contains all athletes at the school and is the list that coaches and/or admins pick from when they add to their individual team rosters.  This list should default to Current Students:

Unlike our legacy system, do not remove the previous years’ athletes from this list.  Doing so will remove all of that student’s historical data (i.e., Arbiter Live rosters).  I know it is a different concept, but everything in 360 is based on school year.  This will also come into play with the upcoming online transfer system.

Adding new athletes to this list:

• If you use Arbiter Registration, then no action is needed; they will be added to this list automatically.
• If you do not use Arbiter Registration, then you will, like in our legacy system, have to enter all students (including all incoming 7th graders).

Additional Notes:

• Student physical dates are entered by editing each student on this list.  You can assign rights to your Trainer or any other on staff via the People>Roles menu.
• If you select a student on this list, you will now see three years of history for each at the bottom of their record (23-24, 24-25 and 25-26)
• At this time, this is the only place where you can add Athlete Heights.

Individual Athlete Rosters (including coaches)

As of July 3, 2025, we have:

• Promoted all of your athletes a grade level from last year.
• Copied all varsity team athletes (minus graduating seniors) from the 2024-2025 rosters to the 2025-2026 rosters.  When you go to your Resources>Teams page and select a team’s roster, you will now see that the roster for both coaches and athletes defaults to 2025-2026.
  • If you need to see previous years’ rosters, you can select the year from the drop-down list.
  • Note: Over the course of the next several weeks, we will be importing rosters back to the 2011-2012 school year for historical reference (i.e., your Arbiter Live page).
• Copied all coaches for every level (Freshman, JV and Varsity) from the 2024-25 rosters to the 2025-2026 rosters.  Please review and simply remove any coaches that are not coaching this upcoming school year.

In regards to Freshman and JV rosters, as in our legacy system, we did not carry any athletes over from the previous school year.  They will need to be built from scratch.
