The KHSAA, a private, non-profit entity designated by the Kentucky Board of Education to manage high school sports and sport-activities in the Commonwealth, has an immediate need to fill at least one opening on its support (classified) staff. This non-administrative (clerical/secretarial) opening(s) will be filled as soon as possible and is anticipated to be a regular, part-time position with a 25-hour per week work schedule, as an Administrative Events Coordinator-2.If the successful applicant holds a college degree, the position could be converted to a full-time position as an Administrative Support Specialist. 

The KHSAA operates regular business hours from 7:30 a.m. to 4:00 p.m. Eastern Time, and this position(s) will normally operate within that schedule.

The position(s) is a support staff position (clerical/secretarial/administrative support) and reports directly to the Office Manager. Duties shall include:

  • Daily posting and facilitation of licensing for the 4,000 KHSAA licensed officials;
  • Facilitating the billing, collection, and payment of contract fees for approximately 70 sports assigning secretaries who are contracted by the KHSAA;
  • Year-round work supporting an administrator in specific sports and with the preparation for specific championships;
  • Processing checks and credit card requests received;
  • Providing assistance to the rest of the support staff;
  • Performing tasks assigned by other members of the Executive Staff along with general clerical and other duties as assigned.

Duties may include:

  • Opening and distributing mail;
  • Serving as a primary contact answering telephone;
  • Assistance with specific aspects of special programs;
  • Coordination of specific aspects of special programs and special events.

The successful candidate for any support staff position:

  • shall be a high school graduate (or equivalent);
  • shall be a self-starter and highly organized with a demonstrated work ethic and ability to multi-task;
  • shall personify a customer friendly attitude, both inside and outside the office;
  • shall be able to meet strict deadlines;
  • shall be compliant with office hours and other office administrative policies;
  • shall have a strong knowledge of ever-evolving technology including the use of the internet and email;
  • shall have word and data processing skills to include the use of Microsoft Word, Excel and PowerPoint (the Association reserves the right to request a test of specific technical skills essential to the job(s) including mail merge, excel file usage, and Word tables among other technical assessments);
  • should have a knowledge of accounting/bookkeeping, advantageous to have knowledge regarding accounts receivable
  • should be flexible for potential work on a varying schedule which could include KHSAA events;
  • should have knowledge of filing or records management systems;
  • should have a minimum of five years of full-time work experience;
  • should possess strong written and oral communication skills;
  • should have a baseline knowledge of high school sports.

The hourly wage is mandated by a salary schedule adopted for this position by the Board of Control of the Association through the Commissioner as part of the annual budget process. Candidates will be placed into the schedule based on Prior Year Service Credit upon evaluation of submitted resume and documentation in accordance with Board of Control policy. Moving expenses are not available for this position.

Persons employed for a minimum of 25 hours per week (100 hours in a four-week work month) at the KHSAA are currently eligible for single health insurance coverage and other elements of a standard benefits package. The KHSAA is a member of the Kentucky Retirement Systems, therefore the part-time positions are not eligible for membership as these positions are not full-time. The successful candidate must reside within a 40-mile radius of the KHSAA offices in Lexington.
