With the 2014-15 school year underway, not to mention a large number of administrators and coaches holding new positions across the state, now is a good time to pass along a few reminders for the fall sports season in regards to schedules, statistics and rosters.

SCOREBOARD/ROSTER/SCHEDULE REMINDER
The KHSAA/Riherds.com Scoreboard is provided as a service to schools, student-athletes, media members and the general public. The most frequent complaint we hear from the media, general public and our own membership is that the scoreboard contains inaccurate schedules and rosters, as this is often the tool the media uses to cover your programs and this information provides tremendous promotional benefit to your students and school community. It is the responsibility of each school to keep their schedules and rosters current and accurate throughout the year as has previously been detailed by the Commissioner.

At your earliest convenience, please take a moment to review the schedules and rosters for your fall teams on the KHSAA/Riherds.com Scoreboard and make sure they are up-to-date, including jersey numbers and positions for varsity student-athletes.

SCORE REPORTING
Please remind your coaching staffs of the importance of calling in scores to the KHSAA/Riherds.com Scoreboard hotline (1-800-453-6882) immediately following each game, whether they are at home or on the road, whether they win or lose. Do not assume the home team will call in the score. It is better to have a score reported twice than not at all. The KHSAA pays for individuals to monitor the scoreboard each night to provide timely results to the public and media, and of course, to the membership. Having an accurate and up-to-date scoreboard is a valuable resource for all involved. See the note at the end of this post regarding failure to maintain current contest by contest results.

In addition to the scoreboard hotline number, beginning this season, the admin system will be generating “upcoming game” emails on game days that will allow score reporting directly from the email message. Each email will have an active link, which once clicked upon, will allow you to enter the game directly from your computer or mobile device. This option is being offered as a user-friendly way for teams to report results.

SCHEDULES AND TOURNAMENTS
If your team is competing in a tournament in Kentucky during the regular season, first search the schedule system to see if the event is already in the database before creating a potential duplicate record. If it isn’t listed, please send an email to scheduleentry@khsaa.org with a request to have the tournament added, and include the name and location of the tournament. If you are hosting the event, please also list any out-of-state teams competing in the event, so that we can approve this information to add into the system as well as review sanction requirements per Bylaw 22. If the event/tournament is out of state, please send an email to scheduleentry@khsaa.org with a request to have the tournament added, and include the name and location of the tournament. See the note at the end of this post regarding failure to maintain current contest-by-contest schedules.

STATISTICS REMINDER
Finally, statistical entry is also required in the sports of football, basketball and soccer, which will be used to compile a list of statewide leaders, which can also be sent to local media outlets upon request. See the note at the end of this post regarding failure to maintain current contest-by-contest statistics.

PENALTIES FOR NONCOMPLIANCE
Beginning with 2014-2015, as contained in Bylaw 27, the requirements to enter and maintain rosters, schedules and statistics will be enforced more rigorously. This enforcement will subject the member schools to penalties by the Commissioner, including fines and other actions, within the constraints of Bylaw 27. In general, the information (statistics, results, etc.) will have a 48-hour grace period to comply. Due to the unique nature of football and the infrequency of play, enforcement on football will likely be more aggressive concerning score reporting.

As always, please feel free to contact Communications Director Joe Angolia or any member of the KHSAA staff if you have any questions or issues.
