08/27/13 – Did You Know? Head Coach Data Privileges Role

Do you have a trusted Assistant Coach that you would like to have the same roster and/or schedule entry rights as your head coach?  Perhaps your head coach delegates that role to a trusted Assistant coach.

Do you have a Head Varsity Coach that is responsible for maintaining all three roster levels (Varsity, JV and Freshman) – but does not necessarily coach the other two levels on the court or on the field?

Did you know that you can easily take care of both of these requirements in our updated 2013-2014 Member School Database using the new Assistant Coach “Head Coach Data Privileges” Role?

I think that we all realize that the roster and schedule system is restricted to users with AD level (or higher) or Head Coach access.  We also know that each level (V, JV, Fresh) of the sport or sport activity has to have a head coach designated (even if it is the same Head Coach as the varsity team) – so I am not going to spend time on that in this week’s feature.

Giving an trusted Assistant Coach to have the same roster and schedule editing privileges as a Head Coach:

1. Locate and select that Assistant Coach in your School Coaching Personnel Database (Direct link: http://schools.khsaa.org/coaching_personnel/)

2.  Put a check box next to the “Head Coach Data Privileges” role, then click on “Save Changes”

Giving a Head Varsity Coach control over JV and/or Freshman Rosters (If they are not  physically coaching those two levels):

1. As with step one above to locate and select the Head Varsity Coach in your School Coaching Personnel Database (Direct link: http://schools.khsaa.org/coaching_personnel/)

2. Add the Assistant Coach->Head Coach Data Privileges role to the JV and/or Freshman levels as needed

Note that the Head Coach Data Privileges Position will not appear on a printed or viewed roster – it is simply there for behind the scenes roster and schedule entry work.
