Welcome KHSAA member school personnel!  I bet everyone is super busy getting back into school this week (many, like my daughter’s school — in Franklin County — started last week!).

I would like to start out the 2013-2014 school year by starting a weekly “Did You Know?” series of blog posts — highlighting certain functions of our member school login page and its various functions that are important to you, as an Athletic Administrator.  I may talk about Roster Editing one week, Personnel the next, and even some general computer tips and tricks that would aid you with our website and its function.

This week, I would like to put you on the fast-path of making certain that your online systems are setup properly and ready to go for your school year.  

In order to get things started, you definitely need to review four key sections (numbered in Figure 1 and in the list below):

1.  I have reproduced all of my training videos for the updated online functions for 2013-2014, and they are located in the upper right hand corner of the login page

2.  Make certain, under “Update Member School Information (non-personnel) that:

    • You have all of the sports and levels that you offer checked, and
    • You have checked “Head Coach Can Enter Rosters” by each sport if you want to allow your head coach to enter the rosters (leave unchecked if you or your designee will be entering rosters)

3.  Review, and clean up your Coaching Personnel Database by:

    • Removing coaches that are no longer at your school (be de-selecting any positions that you have listed on their record)
    • Searching/adding coaches that are new to your school this year
    • Finally, and very importantly – make sure that all coaching roles are assigned completely and thoroughly to each coach’s record.  For example, if they are head Varsity, JV and Freshman Coach, they should have all three of those positions listed so they appear correctly on all levels of rosters.  Likewise, if you have a Head JV Coach that is an assistant Varsity coach, they should have both of those positions listed on their record.  The revised system makes it much easier to add multiple positions and roles to each coach in one step

4.  Finally, review your “Manage Overall Athletic Roster” to Initialize it if you have not already done so.  This is basically the administrator’s chance to review the roll overs that we performed prior to the school year
